New Years Resolutions
New Years resolutions are easy made, but harder to keep. “I am going to work less this year”. Why not work smarter? “I am not going to answer my phone at lunch this year.” Who is? “I am going to work from home 2 days a week, working reflexy hours.” Who is going to answer your phone within standard hours? “I am going to delegate this year.” Delegate to who?
“Who you are tomorrow begins with what you do today.” ―

Value
We often highlight the cost of our service to prospective clients, that is 30% that of an in-house receptionist. But the real value is in fact the accessibility, whether Monday to Friday 8.30am to 6.00pm or 24/7. And that is solid accessibility, no holidays or sick days, funerals or weddings. Plus there are “hidden” values of delegating your telephone answering needs. We staff so you don’t have to, meaning that your staff can focus elsewhere and not have to do non-core work. Plus you don’t have to interview, recruit and train new staff.
Our team of Personal Assistants handle your calls to to your exact specifications and requirements.

Cost
The costs of our services are clear and easy to understand as we only charge for the calls that we answer, unlike an in-house receptionist. We have 10 different categories (split by call volume starting from 10 messages per month up to 350), each category has a price (including X messages), and an addition per message price up until the next category. Telephone transferring is an addition €30 per month and diary management €35 per diary. All in all in comparison with an in-house receptionist (based on 20 messages per day) our services deliver 47% more time for 22% of the cost. Our Free Trial enables you to see what the service will cost based on your call volume, and enables us to staff this volume going forward.

When a call comes in we take a detailed message which is then relayed to you by email, text or both. Alternatively, calls can be transferred directly to you or your colleagues, on your Direct Dial or mobile phone number. 2021
2021 has been a difficult year, there have been massive societal, social and business problems related to Covid. Sun Tzu was a Chinese General, military strategist, writer and philosopher. Sun Tzu died over 2,500 years ago but he still has relevance today. In his book “The Art of War” there is a well-known quote: “Victory comes from finding opportunities in problems”. Thinking outside of the box, being challenged, however unpleasant does create new opportunities/resolutions. Pubs doing home delivery, ultraviolet wands designed by Boeing and Healthe to clean cockpits. Like everyone else, we have faced challenges ourselves in 2021. Particularly in relation to in office communication and training of new staff. As things stand we have most of our team now working from home. We have continued to offer excellent telephone answering and virtual receptionist services to old and new clients in 2021.

Outsourcing
Outsourcing non-core tasks has become more of the norm, as it allows people (be that staff, management or sole traders) to concentrate on core revenue generating work. We have seen first had huge positives for clients (as well as negatives) over the pandemic. One of our clients is a HR professional. His business has almost doubled in 2021, as his clients grapple with a new working environment.

Our Service
Our offering has not changed because of the pandemic, but the way in which clients are using our services has, slightly. There has been a large swing from message taking to virtual receptionist services, with both new and existing clients. Virtual receptionist allows us to transfer an announced call to staff working remotely on their direct dial (or mobile phone). This allows important calls to be dealt with immediately. In a case of perception is reality, we have one client who has relocated to Spain. Each day we transfer her 4 to 5 calls each day. Her callers are not aware that she is working from Spain, through our service she has continued to maintain extremely high customer satisfaction levels.
We have recruited new clients in almost all sectors in the economy. Including medical, financial, legal, trades, and retail, all looking to enhance the customer service they offer in this trying times.

Thanks
We would like to say thank you to all of our loyal clients, in particular to those who kindly referred us to a friend, or business contact in 2021. Thanks is also due to our team of hard-working dedicated personal assistants. Who provide an excellent service to customers and callers.
What do our clients say about what our services deliver for them:
- Increased productivity
- Improved customer retention
- Longer operating hours/more scale
- Less stress – no more rotas, holiday cover, sick days etc.
- And more!
Steadfast
Our primary services – telephone answering and virtual receptionist, enable businesses to be more efficient and productive. Plus, our specialist services come at c30% of the cost of an in-house receptionist. Part of our offering that usually interests newer businesses (and recently decentralised offices) is postal addresses. If you have other specific postage requirements please free free to get in touch here.
Looking forward to 2022, who knows what further obstacles are going to be thrown at businesses. But one factor that will stay constant is our service to our clients. Having opened in October 2007, and remained a growing business since, we have the capacity to cope with adversity. We will continue to deliver exceptional customer service in 2022. Our commitment to helping all of our customers from one-person bands to large multinationals, and everyone in between is steadfast.
Thank you.

The Year that was…
How was 2021 for you, for some a year to remember, for others a year to forget. Change is always interesting, perhaps more so with the new year just ahead. As Albert Einstein once said; “The measure of intelligence is the ability to change”. But then so often people are afraid of change. How does one progress themselves or their business without it? Some people seem to think progressing is standing still. Mikhail Gorbachev is quoted as saying; “If you are not moving forward, you are moving backward.” What forward moves do you need to make in 2021? In terms of looking back on your business is there anything lessons you learnt in 2021? Are you trying to do to much? Are smaller tasks taking away from core work, is it time to delegate now?

Delegation
Many of our customers are small business, where the nature of business means everyone does a bit of everything, multiple people can and are asked to do the same job. Then as these businesses grow over time delegation comes into it, is the time to delegate now? Why outsource services? To enable business owner(s) to focus on what they do best; their core work, be that making stairs or selling homes. With various tasks being delegated be that payroll, credit control, search engine optimisation and so on.

Kendlebell Naas, can come in at various points of this cycle. As we offer a wide range of services to businesses of all sizes, primarily telephone answering and virtual receptionist services, but also phone numbers and business addresses. For start-up our phone numbers and address offerings are of particular interest as they add legitimacy, tie them to the local community, enable a certain level of credibility.
Why do Businesses come to us?
Because of the quality of the service we deliver, with call answering for instance the average answer time is 7 to 9 seconds for instance. Operating Monday to Friday, 8.30m to 6.00pm, solidly, plus by engaging our service you remove yourself from rotas, recruitment, cover for sick days and so on. Then there is cost to the service we provide, comparing our phone answering service with a in-house receptionist, we would run at c30% the cost. Plus our free trial allows you to dip your toe in our services, at no cost.
See you cost calculator here.
Some people are very much against change, afraid of change, that is why with our Telephone Answering Services we offer a 2 week free trial. No cost, no obligation & no risk free trial. Our trial enables people see the benefits for themselves (and/or other staff members). Facilitating focus on core work, which improves though-put, moral, customer experience and lots more. Communication is absolutely critical when it comes to running a successful business. The Merriam Webster definition of communication is “the act or process of using words, sounds, signs, or behaviours to express or exchange information or to express your ideas, thoughts, feelings, etc., to someone else”. How are you communicating with your customers? Particularly for micro, small and medium sized businesses. In this day and age you want your business to be as accessible as possible. But how best should you structure this accessibility? One of the very best ways to make yourself and your team very accessible is to make sure that you are contactable via telephone. What have your team capacity to handle – in terms of calls? For many running smaller businesses, the hurdle of telephone answering can become a big problem.

Professional
When dealing with a one person operation, there is huge pressure on that person to deliver. But also huge risk from the customers point of view if they can’t, even if not through their own fault. Having the appearance of an addition staff member adds credibility. In the Harvard Business Review, there was an article “To Keep Your Customers, Keep It Simple”, the article looks at what drives consumer behaviour. The article looks at surveys/reports in relation to what makes consumers “sticky” – likely to follow through on an intended purchase, buy again and recommend to others. The biggest driver of “stickiness” by far above price, perception, interaction was “decision simplicity”. The ease with which consumers can gather trustworthy information about a product and/or service and confidently weigh their purchase options. So in essence consumers want simplicity. Communication is critical, your communications with customers says a lot about your business. Boils down to that old saying less is more. How does your website compare to a competitors? Do they answer their own phone?

Capacity
For some smaller businesses answering the calls is not necessarily a problem. Maybe they do manage to answer all calls, but the calls drain a huge amount of time. Smaller businesses can be shorter on time. Plus the distraction of the call, the refocus recovery afterwards, the removal from “core” or invoiceable work. Also dealing with a high volume of routine calls can be also be energy sapping. Especially if similar queries keep popping up. The knock on effect of this is, small business owners tend to “dodge” calls aka lose business, as some will try to operate solely online. “You can book via the website” and so on, some customers do not want to book via a website! They want to call and speak to a team member. Some sole traders resort to running their businesses using only their mobile phone. This may even prove to be perfectly functional day to day, for them. But does appear to possible customers as unprofessional. Communication is critical, you miss a call here, don’t listen to a voicemail there, perhaps not enough to lose a current client but certainly enough to lose a prospective client.

A mobile landline
Whatever about visibly operating from a mobile phone and actually operating from a mobile phone, like with many things perception is reality. Have a landline on your website point it into your mobile or into a call answering service, either way the perception is you have an established business, initially with the number alone. Plus this also provides you a landline number to print on stationery and vehicles. Because even if a possible client is on your website planning to send you an email and they see that you have no landline number, that is a negative cunctation against your business. With having a landline listed you are consciously communicating with the customers – this is an established reputable business.

Trust
Strong relationships, whether personal or economic, are built on trust. Often in a era of google business/adwords a possible customers first interaction with a business might be via an advert or website. Does the website look trustworthy? Is there a landline number? If you ring is the call answered? Is there a physical address? A recent Dale Carnegie study indicated that trust is “very” or “extremely” important to 73% of consumers for building relationships with salespeople. Is a website any different? Is your website not a salesperson? The same study found that 71% of respondents said they would rather buy from a salesperson they trusted over one who gave them the lowest price.

Kendlebell Naas – The Perfect Answer.

At the moment many businesses are finding recruitment difficult. So what are the costs of a telephone answering service vs in-house receptionist? According to indeed the average salary for a receptionist is €27,176 per year in Ireland. Based on 329 reported salaries on 19th November 2021. In terms of comparison, allowing for 20 calls a day, you would be looking at c€8,734 – 32% of an in-house staff member, if not less!

In-house Costs
There are costs borne by business of having in-house staff and replacing them: recruiting, interviewing, hiring and training all have a cost. CAP – the Centre of American Progress conducted a survey looking at replacement costs. Finding that the cost of replacement for a standard retail staff member was 16% of their annual salary, more here. Which based on the above figure would be €4,348. After absorbing these costs a employer must also absorb the risk of employee turnover. Plus employee turnover is expected to rise marginally to 10% next year. Compared with an anticipated 7.5% for 2021 – according to Derek McKay, Managing Director, Adare Human Resource Management (see more on this here).

Also in relation to an in-house receptionist vs a virtual receptionist or a telephone answering service, consider the other costs. The money spent on equipment they need to do their job, training, a location for them to work (a big issue with remote offices & covid decentralisation), taxes and benefits. As well as the cover required when they are on leave. Be that annual leave, sick leave, perhaps maternity or paternity leave and so on. Even little things like whom answers the phone when your receptionist is on a break or lunch. There is a additional cost to all this as well. Be that organising cover or perhaps missing opportunities if you can’t source cover. And finally, how long does a receptionist normally stay in their position before moving on to another job? And then you’ve got to go through the process of finding, interviewing, hiring, and training another one?

Comparison
What is the cost comparison? An in-house receptionist working standard hours 9am to 5pm, 1 hour for lunch, so 7 hours a day. With 20 days annual leave, works 232 days (252 working days in Ireland 2021), €117 per day, €16.73 per hr (1,624 hours per year). Versus our telephone answering/virtual receptionist services, 8.30am to 6.00pm, 9 1/2 hours a day, works 252 days per year (24/7 is available), €35 per day, €3.65 per hour (2,394 hours).
At its simplest, our service provides 47% more time for 22% the cost (by hour). We give time back to our staff to focus on their core work.

Whether you are a one woman or one man show or part of a bigger organisation, missing calls is bad business. Not only are customers happier to call businesses. But these calls are not 2 or 3 BUT 10 to 15 times more likely to generate a sale or follow-up activity than a digital submission form. Which is why services like ours at Kendlebell Naas can really aid people in business. Do you miss business? Do you miss calls? We can help.

Humans
The average person speaks between 125 to 175 words per minute. People can listen at a rate of up to a whooping 450 words per minute. How fast can the average typist type? Just 38 – 40 words per minute, and that is not on a smart phone, that is on a keyboard. Most consumers are happy to carry out certain transactions out online – ordering a pizza for instance. But if calling their accountant or solicitor people still want to talk to the office etc. Check out “Your Customers Still Want to Talk to a Human Being – in the Harvard Business Review here.
Our team of dedicated Person Assistants are the front of house for a wide range of businesses from accountants and solicitors to physiotherapists and podiatrists to plumbers and electricians. Over the last couple of years, more and more companies have started to compete mostly on customer service experience. Up from 36% in 2012 to 89% in 2016, see more on this here.
For most of our clients and service costs hundreds of euros, but what does poor customer service cost business? A Customer Service Barometer study jointly conducted by American Express and Ebiquity found that 55% of consumers who intended to make a purchase have backed out because of poor customer service. See more on that here.
According to New Voice Media, poor customer service is costing US businesses $75 billion a year, see more here. The survey, based on independent research among over 2,000 US adults found that top reasons for leaving included: feeling unappreciated (40 percent), not being able to speak to a person (33 percent), being passed around to multiple agents (30 percent) and being put on hold for too long (28 percent). 17 percent had such low expectations of the customer experience that they didn’t even bother contacting support about their service issue before switching companies.
